Notes:

Transfer to fax machine. The tone table includes incoming fax detection. You may add an "X" type mailbox which transfers to a fax machine. Also add a line to the VOICE.BAT file which says: 'SET FAX_BOX=xxx' where xxx is mailbox for the fax machine. Not all fax machines send good CNG tones and will not transfer, but if fax tones are detected, the call will transfer to the extension specified in the FAX_BOX setting.

The Automated Attendant Immediate Transfer feature is one of the best features we've ever seen on a phone system. It allows for the advanced functions available with supervised transfers, but eliminates slow connect time, which is the #1 user complaint with supervised transfers. Comdial should be commended for this outstanding feature. (This feature does not function in all version of the Comdial software)

VoiceTrak Mailbox Types - All mailboxes should be R type for full monitoring, and Call Screening should be set for N because of the Automated Attendant Immediate Transfer feature on the DXP. The attendant console and any modem or fax boxes should be set to N type boxes for unsupervised transfers.


Consider the VMI option

VoiceTrak supports the Comdial VMI Integration. This option allows unsupervised transfers and allows telephone sets to forward to a specific voice mail box.

System Parameters

#1 Synchronized Ringing = Yes.

#2 Auto Attendant Immediate Transfer - Set to yes. Important notes: If this feature is set to yes and VoiceTrak is performing a supervised transfer, the DXP will connect the CO line with the called extension immediately when the called extension goes off-hook. This modifies the standard supervised transfer function of the DXP. This feature will not affect the ability of VoiceTrak to retrieve a holding CO line if the called extension is busy or not answered. However, VoiceTrak will immediately lose control of the call when the called party goes off-hook to answer. Note that if this Comdial feature is activated you can't use the VoiceTrak Call Screening feature. Each VoiceTrak mailbox setup screen should be set for Call Screen=N. This DXP feature eliminates the greatest objection system users have to supervised transfers: the need to say 'hello' twice. (Technical note: VoiceTrak will connect during VT Function 011 if this feature is active and on Function 012 if this feature is not active). If this feature is set to no VoiceTrak will perform a normal transfer for a supervised call. When the extension rings, VoiceTrak will wait for the 'hello' and then connect the call. The called party must say 'hello' a second time. Also note that if this feature is activated, all devices connected to OPI-X or ATI-X units will connect immediately when the called extension goes off-hook during a supervised transfer.

#7 Night Ring. If Automated Attendant is desired we suggest that the desired lines be set to ring the first VoiceTrak port when in the night mode. We recommend that the day mode be set for all lines to ring at the attendant console. In the unlikely event the VoiceTrak system should experience problems, it will be a simple process to redirect calls to the attendant console.

#11 Tone First = Yes. This insures that the VoiceTrak ports will not initiate a voice call to the station set when transferring a call.

#12 Through Dialing = Yes. This insures that when station sets dial VoiceTrak ports, additional key presses on that station set will send DTMF tones to VoiceTrak.


Establishing a Hunt Group for VoiceTrak

Use a single line telephone (SLT) or test set to program each VoiceTrak port for Busy Forward to the next VoiceTrak port. In other words, temporarily connect a SLT to the tip & ring of the first port to be used for VoiceTrak. Get intercom dial tone and dial *54 + next VoiceTrak extension number. Move to port 2 and program it to forward to port 3. Repeat for each port. The last port should forward to the attendant console for overflow. Forwarded extensions show blue on the DXP color attendant console. Suggestion: The last VoiceTrak port should be reserved for message lights and outcall notification so lights will turn on and off quickly. For example, on an 8 port VoiceTrak system, port 7 should forward to the attendant and not to port 8.


Other Important Notes

Square Systems. If the DXP is configured as a squared system any system user can grab a line while VoiceTrak is executing a transfer sequence. If a system user grabs a line while VoiceTrak is transferring while VoiceTrak is attempting to take a message, it is possible that the system user, the caller and VoiceTrak will all be connected in a conference type call. We suggest the system be configured as a PBX. It is hoped that a technique can be found for VoiceTrak to utilize the exclusive hold feature while transferring a call, but at this point it doesn't appear possible on the DXP.

Secure Off-Hook Voice Announce (SOHVA) must be disabled in order for VoiceTrak to issue an unsupervised transfer to the operator console. When SOHVA is enabled and VoiceTrak issues an unsupervised transfer, the console operator station is unable to retrieve the call and the caller is lost. This appears to be a software bug in the DXP software. (The VoiceTrak drop operator box should not be configured as an 'R' box (for supervised transfers) because the DXP returns a busy signal if the console is off-hook. This would prevent callers from reaching the operator. The preferred method would be for the DXP to return ringback, regardless of whether the console is on-hook or off-hook. Since this is not the case, you must use unsupervised transfer).

Rhetorex driver. Since VoiceTrak does not need to listen for a voice eon connection it is not necessary to optimize the Rhetorex driver for voice. Use the CONFIGUR.EXE program to change the optimization of the 'outdial function' from 'voice' to 'signal'. This is not essential but may help with the disconnects.

Comdial proprietary single line sets. If the system has an intercom hunt group with Comdial proprietary single line sets it may kill the immediate disconnect feature of the DXP. When these sets are used the system may stop sending busy tone to voice mail ports when a call has been terminated. Comdial does not recognize this as a bug in their software. They claim that their system does not send a busy tone to voice mail ports upon disconnect, and since they don't claim to have that feature there can't be a bug when single line phones are used in an intercom hunt group!
